Privacy Policy
Last updated October 12, 2026
This Privacy Policy explains how Aurora Broadcast ("Aurora", "we", "us") collects, uses and shares information when you visit aurorabroadcast.tv (the "Site"), send us an enquiry, or use our crew and client portal (the "Portal"). By using the Site you agree to the practices described here.
Information we collect
Information you give us.
- Enquiries. When you use the contact form we collect your name, job title, company, email address, phone number, and any details you choose to share about your event, such as dates, budget and production type.
- Portal accounts. Crew who register, and client users whose logins we create, provide a name, email address, phone number and password. Crew may also add a role, skills, biography, location, availability and portfolio links. Day rates and booking details are recorded for crew we engage.
- Messages. If you email or call us, we keep the correspondence.
Information collected automatically. When you submit an enquiry we record your IP address and browser details (user agent) to help us detect spam and abuse. Our servers also keep standard logs, such as IP address, pages requested, date and time, and error reports.
Cookies. The Site uses only cookies that are strictly necessary: a session cookie and a security token that protect forms and keep you signed in to the Portal. We do not use advertising or analytics cookies. You can block cookies in your browser, but the contact form and Portal may not work without them.
How we use information
We use the information we collect to:
- respond to enquiries, prepare proposals and provide our production services;
- schedule and manage crew, and share call sheets and project information with the people who need them;
- create and secure Portal accounts;
- operate, protect and improve the Site, including preventing spam, fraud and abuse;
- meet legal, tax and accounting obligations; and
- communicate with you about your enquiry, booking or account.
We do not use your information for advertising and we do not sell it.
How we share information
We share information only as follows:
- Within a production. Crew assigned to a project see the call sheets for that project, including the names, roles and contact details of fellow crew. Clients see their own projects and the names and roles of crew, but not crew contact details or rates.
- Service providers. We use trusted providers to run the Site, including web hosting, email delivery, and Cloudflare Turnstile, which checks that form submissions come from a person rather than a bot. They may process information only to provide their services to us.
- Third-party content. The Site may display public posts from Aurora's Instagram account. Loading those images may transmit your IP address and browser details to the provider.
- Legal and safety. We may disclose information if required by law, or if we believe it is necessary to protect rights, property or safety.
- Business changes. If Aurora is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction.
How long we keep information
We keep enquiries and correspondence for as long as needed to respond and to maintain our business records, and Portal account information for as long as the account is active. We then delete or anonymise it unless the law requires us to keep it longer. Project and financial records are kept as required for tax and accounting purposes.
Security
We use reasonable technical and organisational measures to protect information, including encrypted connections, hashed passwords and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you, or to close your Portal account, by emailing us at tracy@aurorabroadcast.tv. Depending on where you live, such as California, Nevada and other US states, you may have additional rights over your personal information, including the right to know what we collect, to request deletion, and to opt out of the sale or sharing of personal information. We do not sell personal information or share it for cross-context behavioural advertising. We will not discriminate against you for exercising your rights. We may need to verify your identity before acting on a request.
Children
The Site is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
Links to other sites
The Site may link to other websites, including social media. We are not responsible for their content or privacy practices, and we encourage you to read their policies.
International visitors
We are based in the United States and the Site is operated from here. If you visit from another country, your information will be transferred to and processed in the United States, which may have different data protection laws than your country.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page shows when it last changed. Continued use of the Site after an update means you accept the revised policy.
